2. Definitions
- User / you: anyone who registers for or uses the Service.
- Consumer: a natural person acting for purposes outside their trade, business or profession (Ptk. 8:1. § (1) 3.). A private pilot who keeps their own logbook or co-owns an aircraft for private flying is normally a consumer.
- Business customer: any user who is not a consumer (e.g. a company, club, flight school, a sole trader or an aircraft-owning entity acting in its business).
- Account: your personal login to the Service.
- Workspace: a separate data area in the Service. A personal workspace belongs to exactly one user (pilot logbook, credentials, exams). An aircraft workspace is run by its owner (aircraft, techlog, maintenance, documents, defects, trips, mail). Members have one of the roles owner, pilot, maintenance, viewer.
- User Content: everything you or your workspace members upload, enter, import or send through the Service (entries, documents, scans, photos, flight-data files, emails, signatures etc.).
- Plan: Free, Pilot or Aircraft, as described on the pricing page (https://flightdex.io/pricing/).
- Paddle: Paddle.com Market Limited (UK) and, for buyers in the USA, Paddle.com Inc., our reseller and Merchant of Record (section 7).
- AI features: functions that use a large language model (currently Anthropic's Claude API) to classify, extract, summarise, research or draft.
3. Scope and acceptance
3.1. These Terms govern the use of the Service by consumers and business customers. Where a clause applies only to one group, it says so. Mandatory consumer-protection rules always prevail over these Terms.
3.2. How the contract is made. You accept these Terms by ticking the acceptance box and completing registration (or, for a paid Plan, by completing the checkout). The contract is concluded electronically. It is not a written contract in the legal sense, we do not file it as a separate document, but you can view and download the current version at any time at https://flightdex.io/terms/ (and download or print it from there). The version number you accepted is recorded with your acceptance in your Account, and earlier versions are available on request at hello@flightdex.io. The contract can be concluded in English or Hungarian. We do not subscribe to any code of conduct. (Ekertv. 5–6. §, 45/2014. (II. 26.) Korm. rendelet 11. §.)
3.3. Correcting input errors. Before you submit the registration or the checkout you can review and correct everything you entered. We confirm the registration by email without undue delay; if the confirmation does not arrive within 48 hours, please contact us.
3.4. Age. You must be at least 16 years old to register. Users under 18 may buy a paid Plan only with the consent of their parent or guardian.
3.5. Business customers who process personal data of other people in an aircraft workspace (members, crew, passengers, handlers) conclude our Data Processing Agreement, which forms part of the contract. How we handle personal data is described in the Privacy Policy.
4. The Service
4.1. FlightDex is an online, installable web application (PWA) for owner-pilots, pilots and maintenance staff. It offers, depending on the Plan: an EASA-style pilot logbook, credential and recency tracking, an aircraft techlog, defect and maintenance tracking, a document store, trip planning with operations email, flight-data import, notifications, exports and an ATPL theory study aid (Academy). The current feature list is on the website.
4.2. Some features work offline. Data entered offline is synchronised when you are back online. If the same record was changed elsewhere, the Service shows a conflict that you must resolve; until synchronisation completes, offline data exists only on your device.
4.3. The Service is provided as it is at any given time and develops continuously (section 14).
4A. Invite-only free beta
4A.1. Invitation. The Service is currently in beta and available by invitation only. Invitations are sent to people on the waitlist or by the owner of a workspace. An invitation is personal, valid for 30 days and not transferable. Nobody has a right to receive or accept an invitation.
4A.2. Free of charge. During the beta the Service is free; we neither ask for nor process payment data. Sections 7 and 8 (Plans, prices, Paddle, refunds, withdrawal) apply only once paid Plans start. At the end of the beta you move to a paid Plan only by an express decision (by completing a checkout); we tell you by email at least 30 days in advance. There is no automatic charge. What the Service offers after the beta, including any free tier, will be announced at least 30 days before the beta ends. If you do not buy, your data stays readable and exportable under section 9.
4A.3. Limits. During the beta a user can create up to 3 own workspaces; a workspace can hold up to 3 aircraft and 10 members (pending invitations included). We may change the limits based on the beta; changes do not affect access to existing data.
4A.4. Nature of the beta. The beta Service is under development: features may change, be temporarily unavailable or contain bugs. Section 17.1 (no SLA) applies in particular. Keep your own copy of any records the law requires you to keep (regular export, section 17.3).
4A.5. Feedback. Send feedback (bug reports, suggestions) to support@flightdex.io or in the app; we may use it under section 11.5.
4A.6. Consumers. Being free of charge does not affect a consumer's statutory rights to the extent they apply to digital services supplied without a price (in particular where the consumer provides personal data; Government Decree 373/2021. (VI. 30.), Directive (EU) 2019/770 Art. 3(1)).
4A.7. Ending the beta. We may end the beta with at least 30 days' notice by email, and give you at least 30 days to export your data.
5. ⚠️ Aviation disclaimer — please read carefully
This clause departs from what you might otherwise expect. By accepting these Terms you expressly accept it (Ptk. 6:78. §). At registration it is shown separately and you must confirm it with a separate tick box.
5.1. FlightDex is a record-keeping and transparency aid. It is not an official document and does not replace any record, approval or decision required by aviation law.
5.2. FlightDex is not approved or certified software for a continuing-airworthiness management organisation (CAMO / Part-CAMO), a maintenance organisation (Part-145, Part-CAO) or for an approved aircraft maintenance programme. The AI-built maintenance programme proposal is only a proposal.
5.3. You remain responsible. The owner (or the CAMO/CAO contracted under Part-ML) remains responsible for the continuing airworthiness of the aircraft and for its records (e.g. ML.A.201, ML.A.305). The pilot remains responsible for their logbook (FCL.050), for the validity of licences, ratings and medical certificate, for recency, and for the decision to fly. See the EASA Easy Access Rules for Continuing Airworthiness and for Aircrew.
5.4. No authority acceptance is promised. Whether a competent authority (for example the Hungarian aviation authority, the LBA or any other) accepts an electronic logbook, techlog or maintenance record, or a FlightDex export, is the authority's decision. Check it with your authority before you rely on FlightDex instead of paper records.
5.5. Informational outputs. Validity and recency calculations, due dates, the pre-flight airworthiness warning (which warns but never blocks and is not an airworthiness determination), G1000 counter predictions, fuel and time derivations, flight-data imports, airport profiles and trip checks are informational and may be incomplete or wrong. Always verify against the primary source (aircraft documents, AFM/POH, AIP, NOTAM, the authority, your CAMO/maintenance organisation).
5.6. Nothing in the Service is operational, legal, medical or airworthiness advice.
6. Accounts, workspaces and roles
6.1. You must give true data, keep your password secret, and tell us without delay if you suspect misuse of your Account. You are responsible for activity under your Account unless it results from our breach.
6.2. The owner of an aircraft workspace decides who becomes a member and with which role, and is responsible for having a lawful basis to enter other people's data (crew, passengers, handlers, maintenance staff) into the workspace. Members act within the role the owner gave them.
6.3. When several people co-own an aircraft, one of them is the workspace owner and pays for the Aircraft Plan. Cost sharing between co-owners is their own matter.
6.4. Instructors can countersign logbook entries through a signed, expiring link without an Account. By signing they confirm that the signed data is correct. The signature is a simple electronic signature; it is not a qualified electronic signature under eIDAS.
7. Plans, prices, trials and Paddle
Sections 7 and 8 apply once paid Plans start (section 4A.2).
7.1. Plans. We offer a Free Plan, a Pilot Plan (per person) and an Aircraft Plan (per aircraft). The features, limits (for example the number of logbook flights on the Free Plan, storage) and the monthly AI credits of each Plan, and the current prices including VAT, are shown on the pricing page (https://flightdex.io/pricing/) and at checkout. The version shown at the time of your purchase applies. Pilots invited to an aircraft workspace use that aircraft's features under the aircraft's Plan.
7.2. Free trial. A paid Plan may be offered with a free trial. If it is, its length and conditions are shown on the pricing page and at checkout before you start it. A trial never turns into a paid subscription without your express purchase. At the end of the trial you can buy the Plan; otherwise the workspace becomes read-only (section 9).
7.3. Paddle is the Merchant of Record. Paid Plans are sold by Paddle as our authorised reseller and Merchant of Record. The purchase contract is concluded between you and Paddle under Paddle's Buyer Terms; Paddle charges you, calculates and remits VAT / sales tax, issues the invoice or receipt, handles payment methods and processes refunds. The use of the Service itself is governed by these Terms between you and DataEdge. We never see or store your payment card data. Paddle's details: Paddle.com Market Limited, 30 Old Bailey, London EC4M 7AU, United Kingdom (as stated in Paddle's privacy notice); for buyers in the USA, Paddle.com Inc.; see also Paddle's vendor information.
7.4. Automatic renewal. Subscriptions renew automatically for the same period (monthly or yearly) until cancelled. Before a yearly renewal you receive a reminder email (from us or from Paddle). You can cancel at any time in the billing portal; cancellation takes effect at the end of the current paid period.
7.5. Price changes. We notify you of any price increase by email at least 30 days before it applies to your next renewal. If you do not agree, you can cancel before the renewal; the new price applies only from the next period.
7.6. Failed payment. If a payment fails, Paddle retries and notifies you. You keep full access for a 14-day grace period; after that the workspace becomes read-only until the payment succeeds.
7.7. Discounts and coupons (e.g. a founding-beta discount) apply under the conditions stated when they are offered.
7.8. AI credits. AI features consume credits from the monthly quota of the workspace. Unused credits do not roll over to the next period. When the quota is used up, or if a global safety cost cap is reached, AI features pause until the next period; every AI feature can also be done manually.
8. Refunds and right of withdrawal
8.1. Our 14-day money-back promise. If you are not satisfied, you get a full refund if you ask within 14 days of your first purchase of a paid Plan, whether you are a consumer or a business, and with no reasons needed. Write to support@flightdex.io or use Paddle's refund process; Paddle pays the refund to the original payment method. Renewals are not covered by this promise, except where the law gives you a right.
8.2. Statutory right of withdrawal (consumers in the EU). As a consumer you may withdraw from a distance contract within 14 days of its conclusion without giving reasons (45/2014. Korm. rendelet 20. §, Directive 2011/83/EU Art. 9). The Service is a digital service. At checkout you may expressly request that the paid Plan start immediately. If you then withdraw within the 14 days, the law allows us to charge a proportionate amount for the service provided until you told us you were withdrawing (45/2014. Korm. rendelet 25. §, Directive 2011/83/EU Art. 14(3)). We waive this: under section 8.1 you get back the full amount for a first purchase.
8.3. How to withdraw. Send a clear statement (for example the model form in Annex 1) to support@flightdex.io or by post to our registered office, or use Paddle's process, before the 14 days end. We (or Paddle) refund every payment received for the withdrawn contract within 14 days of receiving your statement, using the original payment method, free of charge (45/2014. Korm. rendelet 22–23. §).
8.4. What happens to your data after withdrawal or refund: the workspace returns to the Free Plan or becomes read-only; nothing is deleted (section 9).
8.5. Any further rights you have under Paddle's buyer terms or mandatory law remain unaffected.
9. Cancellation, read-only access, export and deletion
9.1. Cancelling a Plan does not delete anything. After the end of the paid period the workspace becomes read-only: you can still read and export all your data, but cannot add or change it. Buying the Plan again restores full access. On the Free Plan, once its limit is reached, new entries are blocked but existing ones stay readable and exportable. We do not delete your data automatically because a subscription ended or because you have not logged in for a long time. If we ever introduce a rule for inactive accounts, we will tell you by email at least 30 days before it applies.
9.2. Export. You can export your data at any time in the formats offered by the Service (e.g. EASA logbook PDF, CSV, ZIP archive) (GDPR Art. 20).
9.3. Deleting your Account. You can delete your Account in the settings. Deletion becomes final after a 30-day grace period, during which you can cancel it. If you are the only owner of an aircraft workspace that has other active members, transfer ownership first. Workspaces in which you are the only active member are deleted together with your Account. We recommend a full data export (ZIP) before deleting. Entries in other users' logbooks and in aircraft records that refer to you (e.g. as instructor, crew or pilot in command, or as signatory) remain there as plain name text; for this reason a minimal record holding only your name is kept after deletion (see the Privacy Policy). Deleted data disappears from backups as the backups rotate (see the Privacy Policy). Records the law requires you or us to keep are kept as described in the Privacy Policy.
9.4. Terminating the contract. You may terminate the contract at any time by deleting your Account. We may terminate it with 30 days' notice by email, and with immediate effect only under section 13. Upon termination by us without your fault, we refund the unused, prepaid part of the fee (pro rata) through Paddle and give you at least 30 days to export your data.
10. Acceptable use
You must not:
- break the law, or infringe other people's rights (including personal data, copyright and trade secrets);
- upload content you are not entitled to share, or other people's personal data without a lawful basis;
- upload malware, or try to access other workspaces or accounts, test vulnerabilities without our written permission, circumvent quotas, rate limits or security controls;
- overload the Service, scrape it, or use automated access other than the functions we provide;
- use the Service to send spam or misleading emails, or to impersonate others;
- falsify records (e.g. forge signatures or flight times) or use the Service to deceive an authority;
- resell or sublicense the Service without our written agreement.
11. User Content and licences
11.1. You own your User Content. We claim no ownership of it.
11.2. You grant DataEdge a non-exclusive, worldwide, royalty-free licence, limited to the duration of the contract and of the retention periods in the Privacy Policy, to store, copy, process, transmit, display and convert your User Content only as needed to provide, secure and support the Service for you and the members you share it with, including through our sub-processors.
11.3. No AI training. We do not use your User Content to train AI models, and our AI provider's commercial terms prohibit it from training models on it.
11.4. Platform content (for example the Academy material, airport base data, templates) belongs to us or our licensors. You may use it within the Service for your own purposes. The software and the FlightDex brand remain our property; you receive a non-exclusive, non-transferable right to use the Service during the contract.
11.5. Feedback you send us may be used freely to improve the Service.
12. AI features: suggest, then confirm
12.1. AI features suggest; you decide. Every AI result (classification, extracted dates and values, logbook rows read from scans, maintenance items, email drafts, airport research, trip checks) is shown as a suggestion that a person must review and confirm before it becomes part of your records or is sent. Outgoing emails are sent only when you press send.
12.2. AI output can be wrong, incomplete or out of date, even when it looks confident. You are responsible for checking it before you rely on it.
12.3. We tell you clearly when content was produced or proposed by AI and when you are interacting with an AI function (Regulation (EU) 2024/1689 Art. 50).
12.4. AI processing of medical certificates is used only if you switch it on separately (see the Privacy Policy).
13. Suspension and termination for cause
13.1. We may restrict or suspend an Account or workspace, or remove content, if it is necessary to stop a serious breach of these Terms, illegal content, a security threat or harm to others. We act proportionately, prefer a warning where possible, and tell you the reasons (section 16).
13.2. We may terminate the contract with immediate effect if you seriously or repeatedly breach these Terms (e.g. sections 10 or 5 abuse), after an unsuccessful warning where a warning is reasonable. You keep the right to export your lawful data for 30 days unless the law forbids it.
14. Changes to the Service
14.1. We may change, improve or discontinue features where there is a valid reason (e.g. security, legal change, a third-party service ending, technical development). Changes are free of charge for you.
14.2. If a change negatively affects a consumer's access to or use of the Service in a more than minor way, we notify you in a durable medium (email) at least 30 days in advance, with the content and date of the change. You may then terminate the contract free of charge within 30 days of the notice or of the change, whichever is later, and receive a pro-rata refund of the prepaid fee (373/2021. Korm. rendelet; Directive (EU) 2019/770 Art. 19).
15. Third-party services
The Service relies on third parties, for example map tiles (OpenStreetMap), the email system, web push services of your browser, the AI provider and, where enabled, flight-data sources (list in the Privacy Policy and on the sub-processor page). Their data may be incomplete, delayed or unavailable, and they may change their terms. Emails you send from the Service go to recipients you choose (airports, handlers, maintenance organisations), who handle them under their own rules.
16. Illegal content, notices and points of contact (Digital Services Act)
16.1. Single point of contact for authorities, the European Commission and the European Board for Digital Services (Regulation (EU) 2022/2065 Art. 11) and for users (Art. 12): hello@flightdex.io, in English or Hungarian.
16.2. Reporting illegal content (Art. 16): send a notice to hello@flightdex.io with the location of the content, why you believe it is illegal, your name and email (unless the report concerns certain child sexual abuse offences), and a statement that the notice is accurate and complete in good faith. We confirm receipt and decide diligently, objectively and without undue delay.
16.3. Restrictions and reasons (Art. 14, 17): content is not public in FlightDex; we do not moderate User Content proactively and do not use automated content moderation. We may remove or block content, or suspend an Account, only under sections 10 and 13. If we do, we send the affected user a statement of reasons (what we did, the facts, the legal or contractual ground, and the available remedies: complaint to us, out-of-court settlement, court).
17. Availability and support
17.1. We aim for high availability, but provide the Service on a best-effort basis without a service level agreement (SLA), unless a separate written agreement says otherwise. Planned maintenance is announced in advance where possible, preferably outside European daytime.
17.2. Support is by email (support@flightdex.io) in English or Hungarian, on business days.
17.3. Keep your own copies of records you are legally required to keep (for example by regular export).
18. Conformity of the Service (consumers)
For consumers, we are responsible for the Service being in conformity with the contract throughout the period of supply, in accordance with Ptk. 6:157–6:159. § and 373/2021. Korm. rendelet. If it is not in conformity, you may ask us to bring it into conformity; if we fail to do so, you may claim a proportionate price reduction or terminate the contract. Report the defect to support@flightdex.io. These rights do not depend on section 19.
19. Liability
19.1. No limitation where the law forbids it. Nothing in these Terms excludes or limits our liability for damage caused intentionally, or for damage to human life, physical integrity or health (Ptk. 6:152. §), or any other liability that cannot be limited by law.
19.2. Business customers. Subject to 19.1, our total liability arising from or in connection with the contract in any 12-month period is limited to the fees paid by the business customer for the Service in the 12 months before the event giving rise to the claim (or EUR 100 where no fee was paid). We are not liable for indirect or consequential loss, lost profit, lost revenue, aircraft downtime, or loss of data that the customer could have avoided by regular export, to the extent permitted by law (Ptk. 6:143. §).
19.3. Consumers. For consumers, we are liable under the general rules of the Ptk. Any limitation applies only to the extent permitted by Ptk. 6:102–6:104. §; your statutory rights (conformity, withdrawal, damages) are not affected.
19.4. Aviation decisions. Given section 5, we are not liable for decisions about flying, maintenance or airworthiness that are based on the Service without the verification required there, to the extent permitted by law and without prejudice to 19.1.
19.5. Force majeure. Neither party is liable for delay or failure caused by circumstances beyond its control that it could not foresee and avoid (e.g. a major outage of hosting or network providers, war, natural disaster, authority action).
20. Personal data
We process personal data as described in the Privacy Policy and, for business customers acting as controllers in aircraft workspaces, the Data Processing Agreement. Medical certificate data is processed only with your explicit consent.
21. Complaints and dispute resolution
21.1. Complaints. Send complaints to support@flightdex.io, by post to our registered office, or by phone (+36 30 436 0799). We reply in writing, with reasons, within 30 days. We record consumer complaints and keep the record and our reply for as long as section 17/A of Act CLV of 1997 on consumer protection (Fgytv.) requires. If we reject a complaint, we tell you which authority or conciliation board you can turn to.
21.2. Conciliation board (consumers). A consumer may turn to a conciliation board (békéltető testület) free of charge. The board competent for the consumer's place of residence or stay acts; at the consumer's request, the board indicated in the request. On request, the board competent for our registered office:
Csongrád-Csanád Vármegyei Békéltető Testület · 6721 Szeged, Párizsi krt. 8–12. · phone +36 62 549 392 · email bekelteto.testulet@cskik.hu · https://www.bekeltetes-csongrad.hu
We are obliged to cooperate in the board's procedure (Fgytv.).
21.3. Consumer protection authority. Consumers may complain to the consumer protection authority (in Hungary: the competent county / capital government office — vármegyei / fővárosi kormányhivatal).
21.4. Cross-border disputes. The EU Online Dispute Resolution (ODR) platform closed on 20 July 2025 (Regulation (EU) 2024/3228), so we no longer link to it. Consumers in another EU Member State may ask the European Consumer Centre Hungary (https://magyarefk.hu) or the ECC of their own country for help.
21.5. Courts. You can always go to court.
22. Governing law and jurisdiction
22.1. These Terms are governed by Hungarian law. For consumers, this choice does not deprive you of the protection of the mandatory rules of the country where you have your habitual residence (Regulation (EC) No 593/2008, Rome I Art. 6(2)).
22.2. Business customers: the courts competent for our registered office (Szeged) have exclusive jurisdiction, depending on the value at stake. Consumers may be sued only in the courts of their domicile, and may sue us there or in Hungary (Regulation (EU) No 1215/2012 Art. 18).
23. Changes to these Terms
23.1. We may amend these Terms for a valid reason (e.g. legal change, new features, security). We notify you of material changes by email and in the app at least 30 days before they take effect. Changes that are only in your favour or required by law may take effect sooner.
23.2. If you do not agree, you can terminate the contract free of charge before the changes take effect (and receive a pro-rata refund of prepaid fees). If you keep using the Service after the effective date, you accept the new Terms. The current version is always at https://flightdex.io/terms/; previous versions are available on request at hello@flightdex.io.
24. Final provisions
24.1. Notices to you go to your Account email address; notices to us go to hello@flightdex.io or our registered office.
24.2. Language. The Terms exist in Hungarian and English. For business customers, the Hungarian version prevails in case of discrepancy. For consumers, if the versions differ or a clause is unclear, the interpretation more favourable to the consumer applies (Ptk. 6:86. § (2)).
24.3. Severability. If any clause is invalid, the rest remains in force; the invalid clause is replaced by the rule of law that comes closest to its purpose.
24.4. You may not transfer the contract without our consent. We may transfer it to a successor of our business with notice to you; consumers may then terminate.
24.5. Failure to enforce a right is not a waiver.
